Portfolio Heritage’s Privacy Policy

At portfolio Heritage, we take your privacy seriously and will not share your information with third parties, unless we are legally required to, without your consent.  The normal reason for sharing with a third party is if we are providing a joint service for you with another provider. We are always delighted to use your photos, videos and feedback on our website and marketing material, but we will only do so with your consent. This is how we collect and store your data:

  • Personal information needed to answer an enquiry or provide a quote or make a booking such as your name, telephone number, email address.
  • Details required to make a booking.  This includes the names of all occupants of the car, the initial collection address, wedding or event timings, venue addresses, contact person on the day of the event, any special requirements you may have, and payments made to us.
  • Feedback, photos and videos that you provide us with

You provide the information when you contact us via our website, social media, e-mail or telephone. Information may also have been received via an enquiry at a wedding fair. Booking details will include information concerning all occupants of the cars and details on the event as provided by the person making the booking.  Occasionally, we may receive your information from a third party if we are providing a service as a joint venture.

How will we use your data?

Our company collects data so that we can:

  • Identify what service you would like and send you a quote.
  • To be able to follow up on the quote and give you any additional information that is needed.
  • To make a booking and ensure that it meets your needs.
  • To remind you of payment deadlines and ensure all payments are received.
  • To provide the service agreed and ensure it meets your needs.
  • To gain feedback after the event and, with your permission, use comments, photos and videos, provided by you, for promotional purposes.
  • Review our service to ensure it continues to meet our high standards.

We will not share your details with a third party without your prior consent unless less we are required to by law.  Some of your details which relate to the booking, will only be passed onto a third party if we are providing a service as a joint venture.

How do we store your data?

Portfolio Heritage securely stores your data and ensures that only the people who need access to it, can.

We will keep your data for a period of at least 3 months after the event. This enables us to follow up with you and gain feedback on our service.  Any information that you give us permission to use for marketing purposes will be stored securely and used as detailed below.

How do we use your details for marketing purposes?

We love to be able to use feedback, photos and videos provided to us by customers for promotional purposes.  It is exciting to be able to see our cars with the bridal party or other event guests and hear about the service provided.  We will only use this information with your consent and will not pass it onto others who wish to sell you a service. The information will be used on our website, for social media, in promotional leaflets & products and to show the cars to prospective customers. 

What are your data protection rights?

You have the following rights concerning your data:

  • The right to access – you have the right to request Portfolio Heritage provide you with a copy of the personal data we hold.  We may charge a small fee for this service.
  • The right to rectification – you also have the right to request that Portfolio Heritage correct any information that you believe is inaccurate. You also have the right to ask us to complete any information you believe is incomplete
  • The right to erasure – you have the right to request that Portfolio Heritage erases your personal data, under certain conditions.  Removing data prior to an event may mean we are unable to provide the service agreed.
  • The right to object to processing – you have the right to request that Portfolio Heritage restricts the processing of your personal data, under certain conditions. 
  • The right to data portability – you have the right to request that Portfolio Heritage transfers the personal data we hold on you to another organisation, or directly to you, under certain conditions.

Portfolio Heritage will review its privacy policy on a regular basis.  Any updates to this policy will be displayed on the company website.
